Minutes for Nov. 13th Meeting

  1. Quiet Zones Update

    Have one thing typed up but it has to go through different groups to be edited and approved.  Will send out on listserv.  Asked for suggestions: other places people can go or other rules that should be implemented.

  2. Facebook Group Update

    Is up and running.  Find at “K-State Libraries Ambassadors”.

  3. YouTube Video Update

    Two ideas: Film noir and Dos & Don’ts of the Library

  4. T-Shirt Update

    Got prices and will be making a decision later.

    Will be Jan 16th in the morning; set up a table

Spring Orientation Activities

The K-State Libraries Ambassadors staffed a table inside Forum Hall's lobby from 8:30 a.m. to 9:30 a.m. yesterday (Jan. 16). We gave out magnets, information about free K-State Libraries' services available to undergraduates, applications for joining the Ambassadors, and had a cart with art books, DVDs, and anime books to let students know that we have a wide variety of materials. We also had our general display board. While I was at the table, we had a number of people approach to ask questions about our organization and about K-State Libraries' services.

During the afternoon we offered tours of Hale Library every half hour from noon to 5. We had tourees for several of those times: 12:30, 1:00, 1:30, 2:00, 2:30, and 5:00. If we do this again in the future, we may want to just offer the tours from noon-2.

Minutes for Oct. 16th Meeting

I. Mission

  2. Talking to classes
    • Ross stated that he enjoyed presenting a brief statement about the benefits of K-State Libraries to several of his classes in the Spring semester. He said that he approached his instructors and found them very open to having him speak to the class. He suggested that other ambassadors who are interested in speaking to classes use this same approach and talk to their instructors.
    • We decided that any ambassadors who would be interested in talking to classes are welcome to approach instructors they know or to consult with their college or dept to see if there are any large classes that would be amenable to having someone speak briefly about K-State Libraries at the beginning of class
    • Jason said that he'd also speak with Sara Kearns to see if she is aware of any faculty who would be interested in having ambassadors visit their classes. He said he'd e-mail the group with any contacts Sara passes along to him.
    • Ross stated that he'd e-mail the group with a loose script of what he presented in the Spring
  3. Liaison to Friends of K-State Libraries
    • Jason and Felisa suggested that we consider having one or two ambassadors attend each of the Friends of K-State Libraries' meetings. This could either be the same individuals each meeting, or different individuals each time.
    • Felisa stated that we could help the Friends with their booksales, with calling to thank donors, with the Gala, and other activities.
    • Jason said that he would call Karen McCulloh to get more information about the possibility of liaisoning with them.
  4. Library Tours
    • Jason suggested that we approach the Office of New Student Services and ask them if we can provide supplementary library tours for students and tours who are visiting campus and would like more information about the library than they get in the standard campus tours. Jason said that he will contact Emily Lehning to see whether this would be possible
    • We discussed the idea of continuing to offer tours during New Student Orientation and decided that this was not a good idea since the new students are too busy with other activities during those days to come for a library tour.
  5. Student Orientations
    • We discussed the idea of staffing a table at the Union during New Student Orientations. We decided that we would pursue doing this during January's New Student Orientation and use the experience to assess whether we want to do this during Summer New Student Orientation as well. If we do staff a table, we need to be present at the table several hours each day. Kelsey volunteered to contact Emily Lehning to get more information about January's New Student Orientation.
  6. You Tube Video
    • Felisa suggested that we make a fun YouTube video to promote Hale Library. She asked us to think of ideas and bring them to our next meeting.
  7. Hale Library Brochure
    • Felisa stated that the next version of the Hale Library Brochure will include information about our group.
  8. Face book group
    • Felisa suggested that it would be fun to create a K-State Libraries Ambassadors group on FaceBook. She recommended that we explore having our group be linked from the Kansas State Network page.
    • Felisa asked each of us to think about what content we should add to the group
    • Sheila volunteered to create the FaceBook group
  9. Quiet Zones
    • We discussed what we could do to encourage patrons to be quiet in The Great Room (Hale 304). We came up with several ideas:
      • Send a letter to groups that study there, reminding them that the room is a designated quiet zone and encouraging them to study elsewhere if they are unwilling to abide by the quiet zone's posted guidelines. Ross volunteered to draft a letter
      • Put a table tent on each table. The table tent would have large letters reading "Quiet Zone!" Felisa volunteered to contact the PR team to see if this would be possible
      • Place a large sign on the door to The Great Room. The sign could simply have very conspicuous wording saying "Quiet Zone." Felisa volunteered to contact the PR team to see if this would be possible.

II. T-Shirts or Buttons

  • We decided that we would like to make K-State Libraries Ambassadors T-Shirts. The shirts would have one of our magnet slogans (e.g., Talk Nerdy to Me) on the back and the K-State Libraries logo on the front. TThey would say K-State Libraries Ambassadors above or below the logo. We talked about using K-State purple as the color or alternatively allowing each ambassador to choose a color.

III. Fundraisers

  • Our group earned $100.00 for the volunteer work we performed at the All Unversity Career Fair in September
  • We decided that we'd like to sell T-shirts that have K-State Libraries' sayings on the back(e.g., "Talk Nerdy to Me") and K-State Libraries' logo on the front. We will have shirts in a variety of colors (one color per shirt) with white or black lettering. We decided that we'd have special shirts for the ambassadors. These shirts would be similar to the regular shirts but would have the phrase "K-State Libraries Ambassadors" above or below the logo. In addition, each ambassador could have a special color for his/her shirt.
  • Kelsey indicated that she will investigate prices for the shirts
  • Jason indicated that he would contact the Friends of K-State Libraries to see if we could sell the T-shirts in conjunction with their book sales
  • Felisa mentioned that we could give away t-shirts (via a drawing) when we staff tables for events

IV. Recruitment

  • Felisa asked each ambassador to consider bringing a friend to the meeting next time
  • We discussed other methods for recruiting ambassadors. Many of us felt that one of the best methods would be to increase our group's visibility by creating more products (e.g., You Tube video, FaceBook group), speaking in front of classes, participating in fund raisers, and staffing tables at events. We also discussed having a fun event like a carnival or a game night.

V. Next Meeting

Our next meeting will be Tuesday, November 13th from 7:00 p.m. to 8:00 p.m. in Hale Library, Room 123

Career Fair Followup

Thank you Ambassadors for collectively volunteering 10 hours at the All University Career Fair on September 18th and 19th. This was a great way to earn some money and also exceptionally good PR for our organization. We advisors greatly appreciate your taking the time to help with this!

Meeting Notes, 3/14

Ambassador Meeting Notes March 14, 2007

In Attendance: Sarah, Marlo, Erin, Ross, Dan, Jason

I. We have a new member, Ross.

II. Display Board: Marlo and Erin will work on the display board.  Dan will talk to Janice about whether they can use work time to complete the display board.  The supplies are in Kristin’s pod.

III. Becoming Official: We will use e-mail to communicate about and finalize the constitution.  Everyone will be receiving the sample documents to aid in creating our constitution.

IV. Officers: We need to have a president and treasurer selected to become official.  Sarah was selected as president and Marlo was selected as treasurer.

V. Classroom talks: Sara Kearns knows a chemistry teacher who would be interested in having library talks in their class.  Dan will e-mail out a schedule of times we can sign up for and the talking points.  Ross also plans to give a presentation in his Engineering Assembly.  Marlo is looking into presenting to the Intro to the Honors Program.

VI. Open House: Open house is April 14 from 9-3.  We will be having two storytimes followed by library tours.  Outside the library, we will have an informational table where patrons can check out materials.

VII. Summer Orientations:  We will hopefully have an informational table in the union that can advertise when we will be giving library tours. Sarah will contact the parties in change of orientation and get further info.

VIII. Watch your e-mail for constitution info and classroom talks info.

IX. Next meeting is Wednesday, April 18 at 9:30 a.m. in Hale Room 123.

Minutes of 11/20/06 Meeting

Attendance: Sarah Anderson, Kelsey Bates, Jason Coleman (advisor), Graham Fox, Felisa Osburn (advisor)

I.  Announcements

A. Jason announced that Kristin Whitehair (the group's official advisor) was unable to attend tonight's meeting and that he will serve as the meeting's facilitator in her absence.

B.  Kelsey announced that she will be studying abroad next semester in England.

C.  Jason announced that the next meeting will take place in mid-late January.  The exact time will be announced near the beginning of the spring semester.

II. Old Business

A. K-State High School Honors Conference Browsing Session

The Ambassadors had a table at the browsing session during the K-State High School Honors Conference.    They reported that they didn't get as much traffic at the table as they would have liked.  They recommend developing a portable display to draw attention to the table.

B.  Presentations at K-State Classes

Jason reported that Kristin Whitehair asked K-State's Subject Librarians for help identifying classes at which the Ambassadors could make brief presentations.  The Subject Librarians have requested that we provide more information about the Ambassadors program and the nature of the presentation at the next K-State Libraries' All Staff Meeting (Dec. 20th from 8:30 am - 10:00 am).

III.  New Business

A. Future Meetings

Jason stated that the student Ambassadors will begin running the meetings next semester.

B.  Recruitment Plan

Currently there are 3 ambassadors and we would like to grow that number to somewhere between 5 and 10 for next semester so that we can submit an application to become an official K-State Student Organization. Jason asked the group for ideas about what we can do to recruit more members. 

The ambassadors (Graham, Kelsey, and Sarah) asked to have a webpage, blog, and e-mail account created for the group.  They requested that the webpage provide a link to the ambassador application and provide information about the purpose of the group as well as pictures and contact information. Jason stated that he would follow-up and have all three created.

The ambassadors stated that they will create flyers to recruit additional members and will display these flyers in the library and at other locations on campus.  They also requested that membership in the group be opened up to all K-State students.  This request was granted.

C. GET IT flyers/handouts

Jason reported that the K-State Libraries' Public Relations Team would like to know if we would be willing to distribute flyers and magnets to ~60 departmental offices on campus by December 8th. The flyers and magnets are designed to provide information about our new link-resolving system. 

The ambassadors agreed to take on this project.

D. Opportunity to practice presenting

Jason reported that he had asked Erin Fritch if it would be ok with her to have the ambassadors visit her Expos II classes to give a brief presentation about what the library offers to undergraduates.  He stated that Erin had said this would be wonderful and that her classes are in the morning on MWF. 

The ambassadors said they would be interested in doing this, but could not do present at those times due to class conflicts.  Jason said that that would be fine and that he would ask Erin if the ambassadors could present at her classes next semester.

E.  Presentation at K-State Libraries' All Staff Meeting on Dec. 20th

Felisa requested to know which of the ambassadors would be able and willing to attend the Dec. 20th K-State Libraries' All Staff Meeting.  Kelsey and Sarah stated that they would be out of town.  Graham stated that he would be in town and would be happy to present at the All Staff Meeting. 

Jason informed Graham that Kristin Whitehair would contact him to go over what should be presented at the meeting.

F. Spring 2007 Orientation for K-State
Jason stated that the next K-State event that seemed to be a good fit for our participation is K-State's Spring 2007 Orientation Day on Tuesday, January 9th.  He said that he will contact the Office of Admissions to inquire about the possibility of us providing guided tours that day and/or making a short presentation to the entire group of students attending the Orientation Day.

Hello

The K-State Libraries Ambassadors' blog where to find information about the Ambassadors’ activities.  Information about upcoming events, library happenings, and minutes from meetings will be posted.  Additionally, we will explore new ideas and we welcome your feedback.  To find out more about the Ambassadors check out the website at www.lib.ksu.edu/ambassadors.  In one short semester of existence we have already represented the library at several events, promoted Movies on the Grass, created a great flyer (Download college_success_brchure.pdf) about the library for prospective students, and done a number of other things.
